Terms of Service

These Terms cover reservations, cancellations, conduct, and liability for our private experiences. The cancellation policy is summarised in Article 3.

Article 1: Application

These Terms of Service (hereafter "Terms") govern the use of the private experiences and related services (the "Services") offered by The SEN Co., Ltd. ("we", "us") through this website. By making a reservation or an inquiry, you agree to be bound by these Terms.

Article 2: Reservations

A reservation is formed when (i) payment has been successfully completed via Stripe (for bookings made directly on this website), (ii) we confirm the booking in writing after receiving notice from an authorised third-party platform (OTA), or (iii) where a corporate client in Japan is paying against an invoice, when we confirm the booking to you in writing.

Prior to payment, a temporary hold of up to 35 minutes is placed on the selected slot. If checkout is not completed within that window, the hold is released automatically and the slot returns to general availability. An enquiry sent through the contact form does not by itself create a reservation.

Article 3: Cancellation policy

  • 7 days or more before the experience: full refund, less the card processing fee (or the transfer charges for invoiced bookings). Please cancel by replying to your confirmation email or contacting Contact form.
  • 3 to 6 days before the experience: 50% refund, less the card processing fee (or the transfer charges for invoiced bookings). By this point the master, the temple and the car are committed, and the half-day cannot be offered to anyone else.
  • Fewer than 3 days before the experience, or no-show: no refund is available.
  • Bookings close 3 days before the date, so a reservation made at the last moment already falls within the 50% period. The refund terms that apply to your booking are set out before you pay.
  • Changing the date: up to 7 days before the experience, the date may be changed free of charge to any available date within 12 months, subject to the 3-day booking cut-off. From 6 days before, a change is treated as a cancellation under the terms above, followed by a new booking.
  • Bookings through OTAs (Viator / GetYourGuide / Klook, etc.): the cancellation terms displayed on that platform apply. Where those terms are more favourable to the guest, the more favourable terms prevail.
  • Cancellation by us: if a storm, heavy rain, heavy snow, blizzard or special weather warning is in force for Kyoto City, if public transport is suspended, or if the master falls ill or other circumstances beyond our reasonable control arise, we will cancel and offer a full refund (including any payment fees) or, at your option, a new date within 12 months at no extra cost. We decide by 6 pm the day before and confirm again by 7 am on the day.

Refunds are processed to the original payment method. Depending on your card issuer, it may take 5–14 business days for the refund to appear on your statement. Bookings paid against an invoice are refunded by bank transfer to the account you nominate. Card processing fees charged by the payment provider are not returned to us when a payment is refunded, which is why they are deducted from refunds.

Article 4: Late arrival

Please be at the pick-up point (the main entrance of your hotel or ryokan) at the meeting time. We wait 15 minutes. If we have not been able to meet you by then, the booking is treated as a same-day cancellation (no-show): the experience cannot take place and no refund is available. If you are running late, please call us. With advance notice we will do what the day's schedule allows.

Article 5: Health, safety, and conduct

Guests are asked to disclose any allergies, medical conditions, mobility limitations, or dietary restrictions at the time of booking so that we may prepare appropriately.

We reserve the right to end an experience without refund in the event of behaviour that endangers the safety of guests, staff, or third parties, damages property, or disturbs the venue.

Article 6: Photography and privacy

Guests are welcome to take personal photographs during the experience. Photographing other guests without consent, or commercial photography or filming, is not permitted without prior written approval from us and the venue.

Article 7: Limitation of liability

To the maximum extent permitted by law, our liability for damages arising in connection with the Services shall be limited to the amount of the booking fee actually received by us. We are not liable for indirect, incidental, or consequential damages, including without limitation loss of travel arrangements, lost profit, or emotional distress, except where such damages arise from our intentional misconduct or gross negligence.

Article 8: Force majeure

Neither party is liable for delay or failure to perform when caused by events beyond reasonable control, including natural disasters, weather, war, terrorism, pandemic, government orders, or transport disruption. In such cases, we will offer rescheduling or refund in accordance with Article 3.

Article 9: Intellectual property

All content on this website (text, images, layout, and design) is owned by us or our licensors and is protected by applicable law. Personal, non-commercial reference is permitted; any reproduction, distribution, or commercial use requires our prior written consent.

Article 10: Amendments

We may amend these Terms as reasonably necessary. Material amendments will be posted on this page with a revised effective date, and will apply to bookings made after that date.

Article 11: Governing law and jurisdiction

These Terms are governed by the laws of Japan. Any dispute arising from or in connection with the Services shall be submitted to the exclusive jurisdiction of the Kyoto District Court in the first instance.

Effective from July 2026.
